Senior Property Manager

As Senior Property Manager you will be responsible for the overall reputation of NVD’s Real Estate Assets including tenant satisfaction, and quality of building operations and upkeep. This position reports to President of Real Estate and Director Real Estate, and works closely with Director of Maintenance to achieve high occupancy rates and low tenant turnover in NVD properties.

Responsibilities involve the negotiation and enforcement of leases (including overseeing any leasehold improvements, verifying monthly rent payments, management of key dates for renewals, escalations and other commitments), dealing with the tenants and issues that may arise and proactively avoiding such issues through management of a preventative maintenance program, liaison with the Director of  Real Estate & Director Maintenance to ensure that regular maintenance schedules are completed and ensure accurate reporting for Northern Vision Development LP, an active Whitehorse-based company that operates three divisions:  hospitality properties, real estate development, and property management of commercial and residential real estate properties.

Qualifications:

  • Minimum 2 years’ experience in property management or leasing.  (Preference is given to longer experience)
  • Ability to interact with a broad range of personalities.
  • Knowledge and understanding of leasing and the legal terminology.
  • Knowledge and understanding of financial accounting.  
  • Analytical, problem-solving, and decision-making skills.  
  • Attention to detail.  
  • Working knowledge of Excel, Word and Outlook.  
  • Ability to work independently as well as in a group environment.
  • Ability to prioritize workload and adjust to shifting priorities.
  • Ability to make balanced decisions and to represent the company well.

Responsibilities:

  • Establish rental rates by surveying local rental rates; calculating overhead costs, depreciation, taxes and profit goals.
  • Attract tenants by advertising vacancies; networking; obtaining referrals from current tenants; explaining the advantage of location and services, showing units.
  • Maintaining positive tenant relations at all times.
  • Contracts with tenants by negotiating leases; collecting security deposits.
  • Regular review to ensure rents, common area maintenance (CAM) and property management fees are recorded accurately and collected.  Done in conjunction with Corporate Controller and AR/AP Clerk.
  • Responsible for the creation and maintenance of the CAM reconciliations and ensuring that the AR/AP Clerk has entered and invoiced correctly.
  • Prepares annual budget of various properties – forecasting of requirements; scheduling of expenses; analyzing variances and initiating corrective measures.
  • Maintains properties by investigating and resolving tenant complaints; enforcing rules of occupancy; inspecting vacant units and the completion of repairs; planning renovations and contracting of services.
  • Deals with Director of Maintenance on maintenance issues and ensures regular scheduled maintenance occurs.
  • Secures property by contracting with a security patrol service.
  • Regular reporting to President of Real Estate, Director of Real Estate, CEO, CFO on issues, current vacancy and trends.
  • Liaises with Senior Management on a regular basis to communicate tenant requirements, trends, and to ensure smooth transition from development to tenant occupancy.
  • Prepares working spreadsheet to show costs and lease rates on all properties to ensure recovery and base lease rates, etc.
  • Involved with business plan and working models for new development to ensure all aspects of CAM, maintenance issues are addressed.
  • Responsible for the compilation of the Master Rent Roll, accuracy and reporting related to it.
  • Approve expenses of the properties for data entry into AP by the AR/AP Clerk.  Ensuring that the allocation of the expense is correct.
  • Negotiate contracts for snow clearing, landscaping, etc. for properties.
  • Actively involved in the marketing, sales and leasing of properties.
  • At all times take care with respect to managing the reputation of the company.
  • Prepares reports for the Joint Ventures and Condo Corp and attends meetings to present information and answer questions.
  • Other duties as assigned by the President of Real Estate & Director of Real Estate.
